Who is the Koltiva Business Administration Officer?

The Business Administration Officer (BAO) is responsible for providing key office management and logistics support to ensure compliance with Koltiva, as well as client and/or donor, regulations and policies using sound management principles. The BAO will also support Koltiva registration in Mexico


What are the key responsibilities of the Business Administration Officer?

  • Identify opportunities for logistic processes, office management improvements, as well as to design and implement new systems.
  • Develop office policies and procedures, and ensure they are implemented appropriately in compliance with Koltiva and client/donor regulations.
  • Support the Koltiva Corporate Office and Project Manager in Koltiva business registration activities in Mexico, as necessary.
  • Manage office supplies inventory and place orders as necessary.
  • Support day-to-day logistics operations of stock planning, ordering, monitoring and coordinating deliveries and shipments, as needed.
  • Collaborate with Koltiva HR to post job advertisements related to Koltiva Human Resources plan, in line with the current project needs.
  • Conduct interviews with key candidates for the different positions for planned projects in Mexico and provide interview summaries to HR and the Project Manager.
  • Collaborate with the Koltiva Finance Team and provide supporting documentation for Cash Advance requests and Bill of Expenses of the project team.
  • Communicate with suppliers, retailers, customers etc., to reach profitable deals and mutual satisfaction.
  • Provide periodic stock count of Koltiva project- related assets.
  • To handle order and invoice management and respond to customer inquiries.
  • Provide other administrative support as necessary and any other ad-hoc duties assigned as and when required by superior.
